1. Information We Collect
When you register for KAYA, we collect the details you provide on the registration form — full name, email address, phone number, college or organization, team name and size, GitHub or portfolio URL, selected track, and your problem statement. We also collect technical data such as IP address, device and browser info when you use the site. We do not collect sensitive personal data unless you choose to share it with us.
2. How We Use Your Information
We use your information to process and manage your registration, verify your email via OTP, communicate event updates and announcements, evaluate submissions, coordinate mentors and judges, and issue participation and winner certificates. Where legally required, we may use your details to comply with applicable laws and regulations.
3. Payments
Payments are processed securely by Razorpay (our payment gateway). We do not store your card, UPI or bank details on our servers. Razorpay collects payment information necessary to complete the transaction and handles it under its own privacy policy. We retain only the payment status, order ID, payment ID and amount for verification and accounting.
4. Cookies & Analytics
We use essential cookies to keep the site functional and, with your consent where required, analytics cookies to understand how visitors use the site. You can control cookies through your browser settings. Disabling essential cookies may affect site functionality.
5. Data Sharing
We do not sell your personal information. We may share limited details (name, team, institution, track) with mentors, judges, partners and sponsors strictly for organizing and running the event. Service providers such as Razorpay (payments) and email providers process data only to deliver their services and are bound by confidentiality obligations.
6. Data Retention
We retain registration data for as long as needed to organize KAYA and meet legal, accounting or reporting obligations. After the event, we may keep minimal records (such as winner names and institutions) for publication and archival purposes. Payment records are retained as required by law.
7. Your Rights
You may request access to, correction of, or deletion of your personal data at any time by writing to kaya@azmth.in. You may also opt out of non-essential communications. We will respond within a reasonable timeframe and in accordance with applicable law.
8. Security
We take reasonable technical and organizational measures to protect your personal data from unauthorized access, loss, misuse or alteration. Razorpay transactions are encrypted and processed over secure channels. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
9. Children & All Ages
KAYA is open to participants of all ages and backgrounds. If you are below the minimum age required to provide consent in your jurisdiction, please ask a parent or guardian to review this policy and submit the registration on your behalf. We do not knowingly collect data from children without appropriate parental consent.
10. Changes to This Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date. Continued use of the site after changes means you accept the updated policy.
